WrenchDay Privacy Policy

Explains data collection, use, sharing, retention, privacy requests, cookies, and customer communications.

1. Scope

This Privacy Policy describes how Rudd Enterprises, LLC, doing business as WrenchDay, collects, uses, stores, and shares information when shop owners, invited employees, customers, visitors, and platform operators use the WrenchDay mobile app, web software, public booking pages, public estimate and invoice pages, communications features, and related services.

For shop customer, vehicle, repair, and communication records, the shop generally decides why and how the information is used and WrenchDay processes it for the shop. WrenchDay separately determines how it uses account, billing, security, support, and service-operations data described in this policy.

2. Information collected

WrenchDay may collect account and employee identity information, shop profile and physical-address information, business contact information, customer names, emails and phone numbers, vehicle details and VINs, service history, appointments, repair orders, estimates, invoices, selected or captured photos, notes, messages, templates, transaction metadata, feature-usage data, authentication records, device push tokens, and support communications.

If a web user allows optional analytics, Microsoft Clarity may collect privacy-masked interaction and diagnostic data such as page visits, clicks, scrolling, navigation, device and browser information, performance signals, and client errors. WrenchDay configures customer-data workflows and authenticated application content to be masked in Clarity recordings. The Clarity tag stays off until the user allows analytics.

If a web or native app user allows the corresponding optional analytics preference, Google Analytics may collect sanitized web page routes, app screen routes, conversion and feature-interaction events, browser or app platform details, and a random analytics device identifier. WrenchDay does not send customer names, email addresses, phone numbers, VINs, notes, messages, payment-card details, or raw record identifiers in its custom Google Analytics events. Native app events are allowlisted and relayed through WrenchDay servers without exposing Google credentials in the app.

WrenchDay may receive payment and billing metadata from Stripe. Payment-card and bank-account details entered in Stripe-hosted experiences are handled by Stripe and are not intended to be stored directly by WrenchDay.

3. How information is used

Information is used to provide the platform, authenticate users, manage shop accounts, schedule appointments, create repair orders, support check-in, store vehicle and customer history, generate estimates and invoices, send communications, process payments, enforce subscriptions, show usage, improve product reliability, prevent abuse, and comply with legal obligations.

When an authorized user affirmatively chooses an AI-assisted feature, the information identified in the just-in-time disclosure is used to generate the requested operational draft. Server-side routes reject covered AI requests without that transaction-specific acknowledgment and record the shop actor, feature, disclosure version, and data categories. This is an acknowledgment by the authorized shop user, not consent on behalf of a vehicle owner. Declining does not prevent use of the rest of the workflow.

4. Sharing and subprocessors

WrenchDay shares data only as needed with service providers that support hosting, database storage, authentication, email and SMS delivery, voice communications, payment processing, file storage, AI processing, analytics, push notifications, monitoring, support, and security. These providers are required by contract or applicable terms to protect the data they process for WrenchDay.

For repair-order diagnostics, estimate drafts, labor guides, and vehicle quick-spec research, WrenchDay displays the data categories and provider before a covered provider request. The server requires the acknowledgment and records an audit event. Opening a repair order alone does not generate diagnostic suggestions or an AI quick-spec draft. AI output is optional and must be reviewed by qualified shop personnel.

For the optional AI receptionist, callers first hear that the system is AI-assisted and that spoken responses are transcribed and may be recorded. Recording, speech recognition, and AI processing begin only after the caller presses 1. A caller can press 0 to request the shop team where configured or end the call without voice processing.

Current provider categories and named providers are described in the WrenchDay Subprocessor List and are updated when material providers change.

5. Customer communications

Shops may use WrenchDay to send appointment confirmations, cancellations, reschedules, repair-order approvals, completion messages, invoice payment links, reminders, and other operational or marketing messages.

By providing your mobile phone number and opting in, you consent to receive SMS messages related to appointments, repair orders, estimates, invoices, payment reminders, and other service-related communications. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for assistance.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties except vendors, messaging providers, or subcontractors that support message delivery. All other categories exclude text messaging originator opt-in data and consent.

The shop is responsible for obtaining and honoring required consent, opt-outs, and communication preferences for its customers.

6. Retention

WrenchDay retains information for as long as an organization account is active and as reasonably needed to provide the service, resolve disputes, comply with legal obligations, preserve business records, prevent fraud, and maintain security. Retention periods vary by record category and the shop’s legal and operational requirements.

A shop owner can permanently delete the owner account from Account & Data in the mobile app after re-entering the current password. This immediately deletes the owner identity, credential and active authentication sessions, removes owner profile images, closes every WrenchDay shop workspace owned by that identity, revokes invited-employee sessions across those shops, and disables their mobile push tokens.

An invited employee can permanently remove the employee login and personal profile from Account & Data in the mobile app after re-entering the current password. The removal takes effect immediately. The shop or WrenchDay may retain organization-owned repair, invoice, tax, payment, timekeeping, payroll, security, and legal records where required, and those retained records are no longer available through the deleted employee login.

7. Privacy rights

Depending on location, individuals may have rights to access, correct, delete, export, restrict, or object to certain processing. WrenchDay and the shop may need to verify identity before processing a request.

Requests involving a shop customer may need to be routed to the shop because the shop controls many customer and repair records entered into the platform. Shop owners and invited employees can delete their own WrenchDay account directly in the mobile app, including while the currently selected shop is inactive. Owner deletion applies to every shop workspace owned by that login. Owners can export needed records from each shop before deletion because deletion is irreversible. A privacy request can be submitted through the public Support page by selecting Privacy and a request type, or by emailing hello@wrenchday.com. The public form returns a reference number; WrenchDay tracks verification, review, response due date, disposition, and an administrative event history.

After owner deletion, WrenchDay retains shop-owned repair, estimate, invoice, payment, tax, timekeeping, payroll, security-audit, and legal records where reasonably needed or required. Retained business records from every formerly owned workspace are no longer accessible through the deleted owner identity.

8. Security

WrenchDay uses technical and organizational safeguards such as authentication, email verification for covered new-device sign-ins, signed-device management, role-aware access, plan- and feature-aware authorization, same-origin checks for sensitive actions, tenant-scoped data access, signed payment webhooks, logging, and infrastructure security controls. Trial users receive the same account-authentication and tenant-boundary controls used by paid accounts; usage limits control feature entitlement rather than replacing security checks.

No system is perfectly secure. Customers are responsible for protecting their accounts, using strong passwords, controlling staff access, and promptly reporting suspected incidents.

9. International use

Data may be processed in the United States or other locations where WrenchDay or its service providers operate. WrenchDay uses contractual and operational protections appropriate to the service and applies cross-border transfer terms where required.

10. Children’s privacy

WrenchDay is a business service for repair shops and is not directed to children under 13. WrenchDay does not knowingly ask a child under 13 to create an account or directly provide personal information through the service.

A shop may enter information about its customers as part of its lawful business records. If a parent or guardian believes a child provided personal information directly to WrenchDay without appropriate authorization, they can contact hello@wrenchday.com so WrenchDay can review and take appropriate action.

11. California online privacy disclosures

Consistent with the California Online Privacy Protection Act, this policy identifies the categories of personal information collected, the purposes for use, the categories of service providers that receive information, available request methods, the effective date, and how material changes are communicated. The categories include identifiers and contact information; shop and employment-related account information; customer, vehicle, appointment, repair, estimate, invoice, payment metadata, and communication records; photos and notes selected by users; device, authentication, usage, analytics, and support information; and inferences or AI output generated at a user’s request.

Rudd Enterprises, LLC does not disclose text-message opt-in data or consent to third parties for their own marketing. A California resident may contact hello@wrenchday.com about applicable privacy rights or disclosures. WrenchDay will route shop-controlled record requests to the relevant shop when appropriate and may verify the requester’s identity.

12. Global Privacy Control and Do Not Track

Some browsers provide Global Privacy Control or Do Not Track signals. WrenchDay treats either recognized signal as a denial of optional web analytics for that browser or device. Where applicable law requires recognition, WrenchDay also applies Global Privacy Control to processing legally subject to an opt-out of sale, sharing, or targeted advertising. Essential authentication, security, fraud prevention, and service-delivery processing continues.

Users can reopen Privacy choices to allow or decline optional analytics. Revoking an earlier choice sends denial signals to loaded providers, clears recognized first-party analytics cookies where accessible, and reloads the page without loading the optional analytics tags.

13. Changes to this policy

WrenchDay may update this Privacy Policy to reflect service, provider, legal, or operational changes. The current version is published in the legal library with its effective date. WrenchDay will provide additional notice through the service, email, or another reasonable channel when a material change requires notice.
